Customer onboarding for recurring billing that prevents failed payments and disputes: data to capture, payment setup, welcome messages and first bill.

Good onboarding for recurring billing captures accurate customer and billing details once, sets up an automatic payment method (debit order mandate or saved card) before the first charge, tells the customer exactly what they'll pay, when and how it will appear on their statement, and confirms it all in a welcome message. Most failed payments, disputes and billing queries in the first three months trace back to something missed at sign-up.
This checklist works whether customers sign up online, on paper, over the phone or in person.
What to capture at sign-up
Customer details
- Legal name (person or company) and trading name
- Billing contact name, email and mobile number
- Physical address (needed on full tax invoices for business customers)
- VAT number for VAT-registered business customers

- Purchase order requirements for corporate customers
Plan details
- Plan or package, quantity and add-ons
- Billing frequency (monthly, annual)
- Start date, trial period and first billing date
- Coupons or discounts, with their end date
- Contract term and notice period, if any
Payment method
- Debit order mandate, signed by the account holder, or
- Card saved via the gateway's hosted page (tokenised), or
- Agreed invoice terms for customers who pay by EFT
Setting up the payment method properly
Debit orders. Use an online mandate the customer completes and accepts themselves, and let them choose a collection date near their payday. Verify bank details before the first collection where possible. See the mandate checklist and debit order action dates.
Cards. Capture the card on the gateway's hosted page so you never handle card numbers (see PCI DSS for small merchants). If there's a free trial, make clear when the first charge will happen.
EFT on invoice. Give the customer a fixed account reference to use every month, and show it on every invoice.
Set expectations explicitly
Show, before the customer confirms, and repeat in the welcome message:
You'll pay R549.00 per month (incl. VAT), starting 1 September 2026. Payments are collected by debit order on the 1st of each month and will appear on your bank statement as FIBRENET. You can cancel with one calendar month's notice. Manage your account at [portal link].
Unclear expectations are the root cause of "I didn't authorise this" disputes and of customers stopping debit orders in their banking app.
The welcome message
Send it immediately after sign-up. Include:
- What they bought, the price and billing frequency.
- The first billing date and payment method (last four digits of the card or account).
- The statement name they'll see.
- How to update details, download invoices or cancel (customer portal link).
- Who to contact with questions.
- A copy of the terms and, for debit orders, the mandate.
The first bill is the riskiest
The first collection has the highest failure and dispute rate. Reduce it:
- Send a pre-billing reminder a few days before the first charge.
- For debit orders, make sure the first action date is after the mandate is in place and after the customer's payday.
- If the first payment fails, contact the customer personally rather than relying on automated dunning alone. It's often a data error.
- Consider taking the first payment upfront by card or instant EFT at sign-up, then switching to the recurring method.

Measure onboarding quality
- First-payment success rate: first collections that succeed ÷ new customers.
- Early disputes or stops: disputes or stopped payments in the first 90 days.
- Billing queries in the first 60 days per 100 new customers.
- Time from sign-up to active payment method.
If first-payment failures are high, look at data capture and collection dates. If early disputes are high, look at communication and statement names.
