Tutoring payments: how tutors and training providers get paid

Tutors and education providers get paid most reliably when lessons are paid in advance: monthly plans collected by debit order or card, prepaid lesson packages bought through a payment link, or course fees with a deposit and instalments. Monthly plans for weekly lessons

A monthly plan (for example R1,200 for four weekly lessons) collected by debit order or saved card works well for ongoing tutoring and music lessons. Decide upfront:

• Does the fee stay the same in months with five lesson days? (Most providers charge a flat monthly fee averaged across the year.)
• Which school holidays are excluded, and is the fee adjusted?
• What happens with lessons the learner misses?

Prepaid lesson packages

Packages bring cash upfront and reduce no-shows:

• Sell them via a payment link or hosted checkout page.
• Track lessons used against the package.
• Set an expiry (for example 10 lessons within 4 months) and state it clearly.
• Offer a modest discount compared with pay-per-lesson pricing.

Courses with instalments

For longer courses (coding bootcamps, qualifications, exam preparation):

• Take a deposit to secure a place.
• Collect the balance in instalments by debit order, with a mandate signed by the account holder.
• State what happens if a student withdraws: refund rules, instalments still due.
• If you charge interest or fees on instalment plans, check whether the National Credit Act applies.

Cancellation and no-show policy

Write it down and share it at sign-up:

• Notice needed to reschedule (for example 24 hours).
• Whether late cancellations are charged or forfeit a package lesson.
• What happens when the tutor cancels.
• Notice period for ending a monthly plan (and, for fixed-term consumer agreements, the Consumer Protection Act's rules on cancellation).

Who pays?

Often the learner isn't the payer. Capture:

• The paying parent or guardian as the billing contact and mandate signatory.
• The employer for corporate training, with PO number and VAT number.
• Separate records for learners linked to one paying account (for example siblings).

VAT for education providers

Some educational services are exempt from VAT under specific conditions, while many tutoring and training services are taxable once you're registered.
